This policy explains what personal information Sanctum Business Advisory LLC collects through sanctumbusinessadvisory.com, how we use it and the choices you have. Sanctum Business Advisory LLC is a Texas limited liability company (“Sanctum”, “we”, “us”).

What we collect

Information you give us:

  • Through the contact form: your name, email address, company, phone number if you add it, your answers about your business and what you need help with, and your message.

  • When you book a call: the details you enter in our scheduling tool, such as your name, email address, any notes and the time you choose.

  • When you email us: your email address and anything you include in your message or attachments.

Information collected when you use the site: our website host records basic technical information, such as the pages visited, browser and device type, the referring site and an approximate location based on your IP address. We use this in aggregate to run the site and understand traffic. The site also keeps a small setting in your browser’s session storage so the opening animation plays only once per visit. It is cleared when you close the tab and is not used to identify you.

We do not ask for, and ask you not to send through the website, bank details, Social Security numbers or other sensitive personal information.

How we use it

  • To reply to your enquiry and arrange and prepare for calls

  • To send proposals, engagement letters and other documents you ask for

  • To keep a record of our correspondence with you

  • To run, secure and improve the website

  • To meet our legal, tax and professional obligations

If you agree to hear from us, we may send occasional updates. You can unsubscribe at any time.

Who we share it with

We do not sell your personal information or share it for targeted advertising. We share it only with:

  • Service providers that run parts of our business for us, including website hosting and forms (Framer), scheduling (Calendly), video calls (Zoom), email and file storage (Microsoft), business phone and text messaging (Quo) and our contact management tool. They may use the information only to provide their service to us.

  • Professional advisers such as our lawyers and accountants, where needed

  • Authorities or other parties where the law requires it, or to protect our rights

  • A buyer or successor if our business is sold or reorganized

If you become a client

Information about your business that you share during an engagement is covered by the confidentiality terms in your engagement letter. Where that letter and this policy differ, the engagement letter applies to that information.

Where your information is stored

Our service providers may store information in the United States and other countries. We may access information while working outside the United States, always through secured accounts.

How long we keep it

If an enquiry does not lead to an engagement, we delete it within 24 months. Client records are kept for as long as the engagement needs them and then for as long as legal, tax and professional record-keeping rules require, which is usually up to 7 years after the engagement ends.

How we protect it

We use reasonable safeguards, including multi-factor authentication, restricted access and providers that encrypt data. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

Your choices and rights

You can ask us to tell you what personal information we hold about you, to correct it, to delete it, or to stop sending you updates. Depending on the state you live in, you may have further rights under state privacy law. Email us at gregory.askew@sanctumbusinessadvisory.com. We may need to confirm your identity before we act, and we aim to respond within 45 days. We will not treat you differently for making a request. If we decline your request, you can ask us to reconsider by replying to our decision.

Cookies and tracking

We do not use advertising cookies or track you across other websites. The booking tool on our Book the Call page is provided by Calendly, which may set its own cookies; see Calendly’s privacy notice for details. Because there is no agreed standard for browser “Do Not Track” signals, the site does not respond to them, but we do not track you across sites in any case.

Links to other websites

Our site links to other websites, such as Calendly and LinkedIn. Their privacy practices are their own, and this policy does not cover them.

Text messages (SMS)

If you text us at +1 (737) 277-0003, or give us your mobile number and agree to receive texts, we use your number only to reply to your enquiry, arrange and follow up on calls and, if you become a client, communicate about your engagement. We do not send marketing texts. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Our business phone and texting service is provided by Quo.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties. The sharing described elsewhere in this policy excludes text messaging opt-in data and consent.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed.
